PROJECTS: Task Followers & Comments
What is a Task Follower?
Each Task in the platform can only be assigned to one individual user, primarily for accountability reasons.
However, there are often times when you would like other people from your Team, or even the Client to be aware of what is happening in this Task, and to be notified when important changes happen or assets are added to the Task.
This is when you would want to employ the Follower feature.
Who can add Followers to a Task?
Only Admins or Project Managers can add/remove Followers to Tasks.
How can I add Followers to a Task?
If you scroll down in the individual Task Details view you'll find the Follower controls in between the Task Description and Comments.
Just click the + button to add Followers
Who can I add as a Follower?
You can add anyone who is assigned to the Project. This includes any of your Staff who are added to the Project and you can even add the Client and any Secondary Clients.
What do Followers see?
Followers will be able to view the Task in the list of Tasks when normally they would not have that visibility.
In addition, Followers will receive email notifications when changes are made inside the Task, if comments are added to the Task, or if files are uploaded to the Task.
VISIBILITY AND PERMISSIONS BY ROLE
Admins // Will be able to view & edit the Task
Project Managers // Will be able to view & edit the Task
Office Managers // Cannot be assigned to a Task, and cannot be added as a Follower to a Task ( no visibility in Projects )
Salespersons // Will be able to view the Task, but editing will be disabled
Teammates // Will be able to view the Task, but editing will be disabled
Freelancers // Will be able to view the Task, but editing will be disabled
Clients // Will be able to view the Task, but editing will be disabled
Secondary Clients // Will be able to view the Task, but editing will be disabled
How do I leave a Comment?
Comments allow you to update the Staff Member or Client assigned to the Task and any Followers the Task may have.
If you want to leave a note on a specific Task you will scroll down right under Followers to Comments.
Anyone Assigned to the Task and all Followers of the Task will receive a notification when a Comment is left.
You also have the option to Send Email Notifications for Comments.
If you want to enable Followers of this Task to receive email notifications when a new comment has been added toggle Send Email Notifications to ON.
Once Send Email Notifications has been turned on you will see another option: Include Comment in Email. When enabled, the Notification will include a copy of the Comment inside the body of the email.
I've toggled it on but I'm still not receiving emails?
There are a couple of places to check if you've updated your Task Comment Notifications and you and/or your Staff are still not receiving notifications.
First, go to Project Settings > Notification Preferences > Send Me an Email When
You'll want to make sure that A new comment is added to a Task in my Projects(s) is checked to enable the setting that allows you to receive notifications. Update All Settings to save your changes.
The other place to check is under Project Settings > Notification Preferences > scroll to the bottom where you'll see a button labeled Update Staff/Contacts Settings.
Select a Role then check the box for A new comment is added to a Task in my Projects(s) to enable that setting and click Save. This will ensure that all future Staff/Contacts in that role will receive notifications.
If you want to update notification email settings for everyone in that Role you will need to check the box labeled Override Existing Settings.
TIP: Staff/Contacts can change these settings in their own account even after Override Existing Settings has been checked off.
