What is a Sales Room?
A Sales Room is a private, no-login mini-site for one CRM Contact, usually the prospect in a Deal. You send a single unguessable link and it opens their own page: their details filled in through Placeholders, your branding, and the pages and blocks you chose. It stays current on every visit rather than going stale like an attachment.
It is built on the same engine as Proposals, so it is polished from the start: a menu down the left, content on the right, and several pages behind one link.

Where do I find Sales Rooms?
Everything lives in the Office area, in two places that do different jobs.
- Sales Rooms is the oversight list of every personal page that has actually been created.
- Generators > Sales Room Generator is where you build the reusable designs. One Generator is a template you can produce pages from again and again.

TIP: Sales Rooms ride along with Proposals, so they appear on plans that include Proposals, and a Staff member needs Proposals permissions to see or build them.
How do I build a Sales Room Generator?
Go to Office > Generators > Sales Room Generator and choose Add Sales Room Generator. From there you build it the way you build a Proposal: add pages, drop in blocks, and set the colours, fonts and logo to match your brand.

A new Generator starts with a sensible page structure you can rename or replace: What We Covered, Next Steps, What I Need From You and How to Reach Me. If you build a page you want to reuse, you can save it to your page templates. Page templates can only be saved from a Sales Room Generator.
What can I put on a page?
Placeholders personalise the page to the Contact it belongs to, so one design serves every prospect without you editing anything per person.
Beyond that there are two separate controls, and the difference between them matters.
- Private (Login Required). Only the Contact this Sales Room is bound to, signed in to their portal account, sees the block. Anyone else opening the link does not. The link alone never reveals a Private block.
- Audience gates. These personalise the page for the link holder, opening based on the bound Contact's Circles, Teams and Role.
IMPORTANT: Audience gates are not login protection. They decide what a page shows about the Contact it is bound to, not whether the person holding the link proved who they are. If a block must only ever be seen by that Contact after signing in, mark it Private.
How does a prospect get their own Sales Room?
Personal pages are produced by the Generator, in the same way Proposal Generators work. Each Contact keeps one active page per Generator, so re-running is safe rather than creating duplicates. There are three ways in.
- By Automation. Add the Sales Room Generator action to an Automation, which generates a personalised Sales Room for the target Contact. Point it at whatever moment fits, such as a Deal reaching a stage.
- From the Contact. Open the Contact and choose Generate Sales Room, then pick the Generator.
- From the list. On the Sales Rooms list choose Generate Sales Room and pick both the Generator and the Contact.

How is the link delivered?
Each Generator has its own On Generation settings, which run once per personal page created:
- Email the private link to the Contact when generated. Your email template carries the link through the [salesDashboard:link] placeholder, which drops in a ready-made View Your Sales Room link. You write the words around it rather than the link itself.
- Add the Contact to Circle(s) when generated. Useful for driving the rest of your automation off the fact a room exists.
You can also skip both and simply copy the link from the oversight list, which is what you would do for a Contact you intend to message yourself.
What does the prospect actually see?
They open the link with no login required and land on their own page: their details through Placeholders, plus every block that is not Private or gated away. It reflects your current content each time they return.
If that Contact is signed in to their portal account, they additionally see anything you marked Private.
The link is built on your own custom domain when you have one set up and verified, so what you send reads as your business rather than as a platform address.
IMPORTANT: A portal sign-in belongs to the web address it happened on. If your link uses your custom domain, the Contact has to be signed in to their portal on that same domain for Private blocks to appear. Signed in at the other address, they see the public view instead.
TIP: A Lead has no portal login, so a Lead only ever sees the non-Private view. If your room depends on Private blocks, it is aimed at Prospects and Clients.
How do I know when they look at it?
Under Viewing the Sales Room you can send a notification to chosen staff members when a prospect or client views the room, which is the moment most worth knowing about in a live deal.
The oversight list also records First Viewed and Last Viewed for every page, so you can tell an unopened link from one someone keeps coming back to.
How do I keep track and stay in control?
The Sales Rooms list shows every personal page you have created, with the Contact, the room's Title, the Design it came from, its status, and when it was first and last viewed.

Each row's menu carries Edit, which opens that one room on its own so you can tailor a single prospect's page without touching the design, plus Preview, Copy link, Revoke and Delete. A revoked room offers Reactivate in place of Revoke.

A page is in one of three states:
- Active. The link opens.
- Revoked. You turned it off. It stops opening immediately, and who revoked it and when are recorded.
- Retired. The Contact was deleted, so their copy was purged. This is not something you set.
TIP: The link carries no expiry date. A Sales Room is meant to stay openable for months, so a prospect can keep returning to it and revoking is how you close one. Revoking is not a one-way door either: a revoked page can be reactivated and the same link works again, as long as you have not since generated a replacement for that Contact from the same Generator, because only one page per Contact per Generator can be active at a time.
IMPORTANT: Deleting a Generator does not break the rooms already generated from it. Every prospect keeps their page, and the list still shows the design name it came from. The Generator itself cannot be recovered, so you lose the ability to create new pages from that design.
