A.I. Brand Voice
What is A.I. Brand Voice?
A.I. Brand Voice is where you tell the platform how your business writes, so that everything its A.I. writes for you sounds like you rather than like a generic assistant. You set it once, and it is used wherever the platform writes on your behalf.
You record four kinds of thing: the tone to write in, what your business does, who your customers are and what you sell, and the words and spellings that are not up for negotiation.
Everything is optional. Answer only what you are sure of: every answer is used, and anything left blank is simply not mentioned.
Where do I find it?
Go to Settings > A.I. Brand Voice. Saving applies to new writing immediately, and you are told so when you save.
TIP: If two people edit the Brand Voice at once, the platform will not let one quietly overwrite the other. Whoever saves second is told it changed while they were editing, and asked to review the latest version first.
Your Line of Work
Telling the platform what kind of business this is means the examples it suggests are written for your line of work rather than for businesses in general. You are asked once, and answering is optional.
Pick from the list, which covers lines of work such as Accounting, Legal, Consulting, Financial Advisors, Insurance, Bookkeeping, Travel, Real Estate, Non-Profit, Sports and Fitness, Virtual Assistants, Construction, eCommerce, Education, Events, Health Care, Content Creators, Web Design, and Coaching. You can also describe your own, or choose Prefer Not to Say.
Business Voice

Business Voice holds the custom examples, phrases and conventions that make writing sound like your business: capitalization rules, favourite sales lines, phrases to use or avoid, and samples of writing you want the platform to follow.
What is a Suggested Starting Point?
Rather than leave you facing an empty box, the platform offers a Suggested Starting Point: a ready-written example you can drop in and then edit.
Choose Insert as Starting Point to put it in the box, where you can change every word before you save, or No Thanks to dismiss it and write your own. Nothing is saved until you save it.
The suggestions are written for your line of work, so they change when you change your industry.
How Your Business Sounds
Four dials set the tone. Each one can be left on No Preference.
- Formality: Formal (complete sentences, no slang, no contractions), Neutral (professional without being stiff or chatty), or Casual (short sentences and contractions, sounds like a person rather than a policy).
- Warmth: Warm (acknowledges the reader before getting to the point), Balanced (a brief courtesy, then the point), or Direct (straight to the point, skipping pleasantries).
- Personality: Minimal (no jokes, flourishes or figures of speech), Moderate (an occasional light turn of phrase, never at the cost of clarity), or Expressive (vivid wording and humour where they fit).
- Level of Detail: Concise (as few words as the meaning allows), Balanced (enough detail to be understood, without padding), or Detailed (explains the reasoning and covers what the reader would otherwise have to ask).
What Your Business Does
Business Description is your business in your own words. This is the part the platform cannot work out on its own, and it shapes everything written for you. A few sentences is enough, and you can leave it blank if you would rather not say.
Your Customers and Offer
Two more boxes carry the background the platform should draw on when it writes for you.
- Your Customer: customer pains, objections, buying triggers, decision criteria, and the language your customers use. Add approved excerpts or findings rather than whole call transcripts.
- Your Offer: packages, deliverables, pricing logic, proof, promises, fit criteria, and any claims the A.I. must not make.
Business Description, Business Voice, Your Customer and Your Offer each hold up to 10,000 characters.
Words and Spellings
Some things are not preferences. This section records the words you will not use and the spellings that have to be right.
- Words to Avoid, one word or phrase per line.
- Spelling Capitalization Rules, one rule per line, such as how your product name is capitalized or which spelling of a word you use.
Each list holds up to 100 entries, and each entry up to 100 characters.
IMPORTANT: These are given to the A.I. as firm instructions every time it writes for you, and finished writing is then checked for the words you asked it to avoid. In the editor you are told straight away if one appears, and elsewhere it is recorded for review. Nothing is rewritten for you, and spellings are not checked afterwards.
Where is my Brand Voice used?
Your voice is used wherever the platform's A.I. writes on your behalf, including messages your Clients receive, and any new writing feature picks it up without you setting it up again.
It is not used where the A.I. only makes a choice rather than writing, and not when somebody outside your team starts the writing themselves.
What if A.I. is not connected yet?
Your Brand Voice still saves. The screen tells you that A.I. setup is needed, and offers the two ways to finish: activate the A.I. Usage Service, or connect your own provider. Until one of those is in place, the settings are stored but nothing is generating writing to apply them to.
