CHECKLISTS: Creating & Assigning Checklists

What are Checklists?

Checklists are simple lists of items that you are wanting a Prospect, Client or Staff Member to complete.  When a Project is too advanced for your requirements, a simple checklist will work as a visual reminder for your user to work through one item at a time. 

Each list item can be individually customized with actions and automation triggers.  


How do I create a Checklist?

You can assign a Checklist to either Prospects, Clients or Staff for access via a stand-alone, white labeled view, or you can opt to use the Checklist Block and integrate the Checklist into the Native Dashboard or a Portal/Start Page or Proposal.

To create your Checklist, navigate to Onboarding > Checklists.

Click the + Checklist button to create your list.

Checklist Title and Usage

Checklist usage is where you stipulate if the Checklist is going to be aimed at Contacts or Staff. The Usage will default to Contacts however you can click the usage dropdown arrow to select the Staff option.

Enable "Help, I'm stuck for every Step" switch to ON if you would like to place a help button on your Client's screen, however this can also be at the Item level.  When the Target clicks the button for the Item it will ask the Target 'did you complete this task?  It will also show two buttons 'Yes' and 'Help, I'm stuck!'

If the target clicks 'Help I am stuck' they will see a pop up window where they can send their message/question to the staff member of your choosing.

To choose the Staff Member(s) that the Help messages will be directed to, select the relevant staff from the dropdown menu. You can include a message in the provided text box that will be directed toward the Staff Member. The Contact will NOT see this information.

IMPORTANT: The default message contains Dynamic Data Placeholders (DDP) in your message to the Staff to record the Contact's message, FLOW Title, and Step. Be sure to to include these DDPs when customizing this message.

Checklist Items

Click + Add new Checklist Item to add an item.

When an Item is added, it will be expanded by default for you to configure the details.

Item Title: This is the checklist item name.

Item Subtitle: The subtitle provides more information to the target about the item. 

Item Description: This is not a compulsory field however this text block provides the opportunity to add more details including images, text, links and placeholders. To see this additional information, the target will click the see more button as shown below

Button Text: Each button can be customized with different text to suit your requirements.

Link Action: Do Nothing/No Action is automatically assigned to the Link Action box.  Click the arrow to reveal the dropdown list of possible actions as shown below

Assigning No-Code Automations to Checklists: You can assign No-Code Automation to fire when the Checklist Item is completed.  

You can click the save icon on the right to save the Checklist at anytime

Alternatively, Click either 'Save' or Save & Keep Editing at the bottom of the page.

Click the icon shown below to look at status and submissions of the checklist.

Click the icon shown below to view or change the Checklist Notification.

If you make changes to the notification please ensure you leave all relevant placeholders in the message as these provide your target with the relevant links to the assigned Checklist.

The icon shown below will return you to the previous Checklist menu.  Please make sure you have saved your changes before leaving the page.


How do I assign a Checklist?

Checklists can be assigned manually through the CRM Dashboard, via a Kickoff Form, FLOW or via an Automation.  Checklists can also be assigned via a Checklist Block anywhere there is a Block editor in the Portal i.e.Dashboard, Portal Page, Proposal.


What does the Target see?

If the checklist is assigned as a stand alone Checklist, the Target will receive an email to inform them a Checklist has been assigned to them.  If they click the link in the email it will take them to their login page or directly to the checklist.

If the target is already in their Portal, they will receive a new Checklist Notification in their Notification center (Bell Icon).  If the Checklist is assigned via the Checklist block, the target will see the checklist in the Page/Proposal where it was provided.


How to I manage my Checklists?

Once you have created your Checklist it will be shown in the Checklist page. Click the three next to the relevant Checklist to reveal the options.  You can edit, view status and submissions or delete the Checklist.
