What is a FLOW Cannon?

A FLOW Cannon is an email that includes a secure link to a published FLOW that recipients can complete without logging in.

You can pre-configure a FLOW Cannon with a selected FLOW and security settings. When the FLOW Cannon is triggered, an email is sent to the recipient containing a direct link that allows them to complete the FLOW experience without needing to log in to your portal.

FLOW Cannons allow you to deliver the full multi-step FLOW experience directly to contacts or companies, whether they already have a portal account or not.

Each time a FLOW Cannon is fired, the system records:

  • A Live Stream activity entry
  • An in-platform notification
  • A complete timestamped audit trail

    *FLOW Cannons are only available with the PLUS Bundle Power-Up

    IMPORTANT: You may need to manually enable visibility for both the Main Menu Item & Sub Menu Item for Automations in Custom Menus.


    How do I create a FLOW Cannon?

    Navigate to:

    Automations → FLOW Cannons

    Click + Add FLOW Cannon.

    A modal window will appear allowing you to add your FLOW. From there, you can select the appropriate FLOW and configure it as needed.

    You will first choose whether the FLOW Cannon will be:

    • Immediate One-Time Send
    • For use in Automations

    Immediate One-Time Send

    This option sends the FLOW Cannon immediately after activation.

    Title of FLOW Cannon

    Enter a name for internal reference.

    Usage

    Choose who the FLOW will be sent to:

    • CRM Targets
    • Your Staff/Team

    Recipients

    Select one or multiple recipients.

    Each recipient receives a unique secure link that identifies them. Any data submitted through the FLOW will automatically be associated with their profile.

    Click Next to continue.


    For Use in Automations

    This option prepares the FLOW Cannon so it can be triggered by Auto-templates or via other platform actions when configure automations is an option.

    This method is “Magic Login Secure”, which means that anyone who accesses the link will be able to access the FLOW until the expiration/limit is reached. If you have privacy concerns, the more secure option is to directly assign the FLOW to the Target and force the Target to be logged in to access the FLOW.

    Title of FLOW Cannon

    Enter a name and select the appropriate usage type.

    Usage

    Choose who the FLOW will be sent to:

      • CRM Targets
      • Your Staff/Team

    Click Next to continue.


    Select the FLOW

    Choose the published FLOW you want to send.  All available FLOWs will be available from the dropdown option.

    When recipients open the secure link, they will begin the FLOW and proceed through the configured steps.

    Click Next to continue or Back to return to the previous step.


    Security Settings

    You can now configure security options for the FLOW link.

    Expire After

    Choose whether the FLOW link should expire after a specified number of days.

    If this option is not enabled, the link will remain active indefinitely.

    Secure with Password

    You may optionally protect the FLOW link with a password.

    NOTE: The password is not included in the notification email and must be shared separately with the recipient.

    Notifications

    Select Staff Members or Teams who should receive a notification when the FLOW is completed.

    IMPORTANT: If left unchecked, no notifications will be sent.

    Click Next to continue.


    Activate the FLOW Cannon

    In the final step you can customize the email message.

    Subject Line

    Enter the subject line recipients will see.

    Message Content

    Customize the message sent to recipients.  You can use the WYSIWYG formatting tools to further customize your email.  

    IMPORTANT: IMPORTANT: Do not remove the system link placeholder, as this is required for recipients to access the FLOW.

    Each user will receive a notification that contains a link that is uniquely coded to identify them. The unique link identifies the user, and using that method, the data submitted by each user will be properly added to their profile. If you added more than one FLOW, the notification will include a unique link for each FLOW.

    Click Activate when ready.


    FLOW Cannon Activation

    If For use in Automations was selected, the FLOW Cannon will become active and ready to trigger via Automations.

    If Immediate One-Time Send was selected, the FLOW Cannon will fire immediately and the email will be sent to the selected recipients.

    Each delivery creates:

    • A Live Stream activity record
    • An in-platform notification
    • A timestamped audit trail


    How do I send a FLOW Cannon?

    FLOW Cannons can be triggered manually via the CRM or Manage Staff Page, or several ways throughout the platform via Automation.

    Manually - CRM

    Navigate to:

    CRM > Contacts or CRM>Companies

    Click the Options menu (three dots) beside the contact.

    Select:

    Fire FLOW Cannon(s)

    Choose one or more FLOW Cannons from the dropdown menu and click Fire.

      NOTE: Only FLOW Cannons configured For use in Automations will appear in this menu.


    From Forms

    FLOW Cannons can be triggered when a contact submits:

    • Kickoff Forms
    • Checkout Forms
    • Update Forms
    • Booking Forms

    When configuring these forms, you will be able to select one or more FLOW Cannons from the dropdown menu.


    Using No-Code Automations

    FLOW Cannons can be triggered using the Fire FLOW Cannon(s) automation action.

    This automation is available in most areas of the platform and allows you to automatically send a FLOW based on workflow events.

    Select the FLOW Cannon from the dropdown menu within the Automation configuration.

    Multiple FLOW Cannons can be selected.


    From CRM Dashboard

    FLOW Cannons can be fired directly from:

    • Contact records
    • Company records

    This allows staff members to quickly deliver a FLOW while working within the CRM.


    During Import

    FLOW Cannons can also be triggered when importing contacts.

    Navigate to:

    CRM > Contacts > Import

    Open the Options menu and select Import Contacts.

    IMPORTANT: During the import process you will have the option to select one or more FLOW Cannons to send to the imported contacts.


    How do I manage FLOW Cannons?

    Navigate to:

    Automations → FLOW Cannons

    Click the Options menu (three dots) beside the FLOW Cannon.

    Available actions include:

    Edit: Modify the configuration, selected FLOW, or message.

    Duplicate: Create a copy of the FLOW Cannon.

    Delete: Remove the FLOW Cannon from the platform.

    IMPORTANT: WARNING: Deleting a FLOW Cannon cannot be undone.
