CRM: Customize Cards and Custom Data

What is Custom Data on CRM cards?

Customize Cards lets you choose which Custom Fields you want close at hand while scanning your CRM Contacts or Companies. The card stays compact: it shows a Custom Data link with an eye icon on its detail line instead of printing the field answers on the card. Select the link to open a right sidebar with all of your chosen fields and their full answers for that Contact or Company.

Your choices are personal. You can choose different fields for Contacts and Companies without changing what another team member sees.

Choose the fields for your cards

  1. Go to CRM > Contacts or CRM > Companies.
  2. Select Customize Cards beside the Add button.
  3. Under Custom Data Options (up to 10 MAX), turn on the Custom Fields you want to inspect from the list. You can select up to ten for Contacts and up to ten for Companies.
  4. Select Save.

When you reopen Customize Cards, your saved fields appear first with their switches on. Turn one off and save if you no longer want it in the sidebar. If your account has no suitable Custom Fields yet, create Custom Fields before choosing them here.

Read the complete answers

When you have selected at least one field, each card has a Custom Data eye link on the same line as its ordinary details. Select it to open the right sidebar for that Contact or Company. The sidebar shows every field you chose, in your saved order. Long answers wrap so you can read the complete text. A field with no answer remains in the list with a dash, making the missing item visible.

Close the sidebar to continue in the same list. Selecting Custom Data does not open the full Contact or Company record. This sidebar is for reading answers; edit a value in the record itself.

Optional settings

Custom Data Settings appears above the field choices in Customize Cards:

  • Custom Data Label: Enter a name of up to 50 characters, such as Tax Intake. It replaces Custom Data on your card link and sidebar title. Leave it blank to keep the default name. Only you see this label.
  • Show Field Count: Add a badge showing how many of your selected fields contain data on each card. This is off by default. A blank field does not increase the count.
  • Color by Completion: When the count is on, you can also color it by the share of selected fields containing data. This is off by default and cannot be used without the count.

With Color by Completion on, the badge is red when fewer than 40% of your selected fields contain data, yellow from 40% until all are filled, and green when every selected field contains data. For example, with ten fields selected, a count of 3 is red, 7 is yellow, and 10 is green. With color off, the count uses a neutral badge.

A saved value of zero and a saved unchecked checkbox count as populated. The badge checks whether a chosen field has a value; it does not judge whether the answer is correct, complete, or sufficient for your process.

Example: track client intake

An accounting team might choose fields for a power of attorney, an engagement letter, prior-year documents, and other intake details. The count helps a staff member spot which client records still have missing answers. Open that card's Custom Data sidebar to see exactly which selected fields are blank. A green badge means all selected fields contain values, not that the client has met every legal or professional requirement.

Good to know

  • If you select no fields, the Custom Data link and count do not appear on the cards.
  • Selections, label, and count settings belong to your own view. Contacts and Companies have separate choices.
  • This feature is available on the CRM Contacts and Companies lists to staff members with access to those lists. It does not add Custom Data to Deals or other lists.
  • Choosing fields for cards does not create Custom Fields or change any saved answers.
