WORLDs: Overview
What are WORLDS?
WORLDS is a feature that was built to provide ultimate flexibility and control... a framework of control that adapts to you. Whether you’re a solo operator running every aspect of your business, or a growing enterprise managing multiple departments, WORLDS delivers the structure, security, and scalability you need. It lets you segment your CRM, separate data access, protect sensitive resources, and build distinct WORLDS all inside one account.
WORLDS solves a critical need for businesses that require asset security, organizational efficiency, and segmented operations. No more scrolling through irrelevant assets or managing similar resources across multiple accounts. WORLDS lets you create secure, tailored working environments that enable focused and secure customization.
- Each WORLD acts as a dedicated environment, with its own subset of CRM data, assets (forms, templates, documents, automations, etc.), and permissions accessible only to the staff assigned to that WORLD.
- The idea is to allow segmentation: by department, office, team, client group, freelancer, region; whichever way your business structure needs segmentation.
Here are the main capabilities that WORLDS unlocks:
Advanced CRM Filtering: You can assign CRM Targets (clients/contacts/companies) to a specific WORLD. Staff who are not part of that WORLD won’t see those contacts or their associated Projects, Deals or Documents. This reduces clutter and ensures people only see what’s relevant to them.
Granular Asset & Permission Control: You can restrict certain assets (Forms, Document Generators, Task Templates, Automations, etc.) so only staff in the assigned WORLD have access/edit rights. Perfect for sensitive resources (e.g. finance, legal docs, internal templates).
Third-Party / Freelancer Collaboration: If you work with outside collaborators (e.g. freelancers, contractors), you can put them into a dedicated WORLD. They get access only to what you designate for them.
Department / Team Segmentation: Create a WORLD for each department or internal team (e.g. marketing, finance, support), assigning only relevant tools, documents, automations to each. Helps prevent cross-department confusion or mistakes.
Multi-Office / Multi-Region Setup: If your business spans multiple offices, branches or geographies, you can set up a WORLD per location (e.g. “Sydney Office”, “New York Office”, “UK Branch”), each with their own CRM sets, assets, and workflows.
Cleaner, More Efficient Workflows: Because teams only see what’s relevant to them, there’s less clutter, fewer distractions, and less risk of error. Helps staff focus, simplifies onboarding, and improves privacy/security.
How to Create WORLDS
To create a World, go to the Flyout Menu > Manage Worlds.

You can now click the + ADD WORLD button to add a World Title and assign any relevant Categories.


Adding Staff Members
To add Staff members to a WORLD you can add the World to the Staff person's Profile or you can go to Flyout Menu > Manage Worlds and click the WORLD you want to add Staff to and select Add Members.
Add From Staff

When you click Add From Staff, your staff list will load on the page. To add a single staff member, click the three-dot options menu next to the staff member and select Add Staff.

If you want to add multiple staff members, check the boxes on the left to select them, then click the Make a Selection button at the bottom of the page and choose Add Selected or Add All.

Add From Teams

When you click Add From Teams, your teams list will load on the page. To add a single team, click the three-dot options menu next to the team and select Add Team.

If you want to add multiple Teams, check the boxes on the left to select them, then click the Make a Selection button at the bottom of the page and choose Add Selected or Add All.

Adding CRM Targets
To add a CRM Company or CRM Contact to a World, you can either add them manually when creating the Target, via Form Assignments, via Auto-template, or by going to Flyout Menu > Manage Worlds, selecting the WORLD you want to manage and selecting the dropdown option for ADD MEMBERS.
Add From Contacts or Add From Companies

When you click Add From Contacts or Add From Companies, your CRM list will load on the page. To add a single Contact or Company, click the three-dot options menu next to the entry and select Add Contact or Add Company.

If you want to add multiple Targets, check the boxes on the left to select them, then click the Make a Selection button at the bottom of the page and choose Add Selected or Add All.

Add From Circle

When you click Add From Circles, your Circle list will load on the page. To add a single Circle, click the three-dot options menu next to the Circle and select Add Circle.

If you want to add multiple Circles, check the boxes on the left to select the Circles, then click the Make a Selection button at the bottom of the page and choose Add Selected or Add All.
IMPORTANT: Adding from Circle only adds the current Targets in that Circle. This is not a dynamic link to a Circle.

Global WORLDs settings

By default your staff world see all unassigned assets and CRM Targets.

You can untick either or both of these options to hide your assets and CRM Targets unless they are assigned to a WORLD.

Once your World is created, you have the option to add it to the following:

Once WORLDs have been created, a new WORLD(s) section will appear when creating the above.
You can add one or multiple WORLDs and once saved the asset will be restricted so only staff in the assigned WORLD have access/edit rights.
