All Tasks Block

The All Tasks Block provides a centralised location for Super Admins, Admins, and Project Managers to view all Tasks from a single block on a Dashboard or Portal Page. It eliminates the need to navigate through individual Projects to find Tasks, giving authorised Staff a comprehensive and filterable view of work across the entire platform.

IMPORTANT: Super Admins can see all Tasks in this block. Admin and Project Manager roles can see all Tasks and Project Tasks that they are assigned to. This block is intended for Staff use only and is only available on a Dashboard or Portal Page.


What This Block Is Used For

Use this block to give authorised Staff members a single, centralised view of all Tasks across the platform. It removes the need to open individual Projects to track progress and keeps your team's work visible and manageable in one place.

  • Give Super Admins and Admins a complete view of all Tasks across every Project from a single block.
  • Allow Project Managers to see all Tasks assigned to them across multiple Projects without navigating individually.
  • Click into any Task to view details, leave comments, upload files, and update the Task without leaving the page
  • Sort and filter Tasks by due date, status, priority, client, or assignee to find what matters most quickly
  • Mark Tasks as complete directly from the block using the check icon

What Users Will See

When Staff members access a page containing the All Tasks Block, they will see a list of Tasks displayed according to the settings you have configured. The experience is fully interactive without requiring any navigation away from the page.

  • A list of Tasks displayed with the data fields you have enabled, such as Project Name, Phase, Status, Priority, Type, Files, Primary Client, and Assignee
  • A check icon next to each Task that can be clicked to mark it as complete
  • The ability to click a Task to open the full Task window, view details, add comments, upload files, and make updates, all without leaving the Dashboard or Portal Page
  • Sort and filter icons within the block that allow users to customise their view at any time.

How to Add This Block

1. Open the Content Block Editor on the Dashboard or Portal Page you wish to edit.

2. Click the Add Block (+) button to open the block selection menu.

3. Select All Tasks Block from the list.

Once added, the block will appear in your layout and is ready to be configured.


How to Configure the Block

After adding the block, you can add your All Task settings, alternatively, you can click the pencil (edit) icon at anytime to open the block. This will open the Block General Settings tab.

Block Title: Give the block a unique title. This title will appear as a header on the Target's side and helps users identify the purpose of the block at a glance.

Block Icon:  Add an icon if required.

Icon Color: If you are using an icon you can choose a color from the color picker or you can add your preferred HEX code.

Show Number of Results: Set the number of Tasks to display in the block at one time. You can choose to show 5, 10, 15, or 20 results.

Block Height: Choose how the block height is handled:

  • Fixed Height — The block displays at a standard fixed size regardless of the number of results shown.
  • Auto Height — The block will resize automatically to fit the number of results you have selected.
  • Custom Height — Enter a specific pixel height for the block.

Default Sorting: Set the default sort order for Tasks when the block first loads. Users can change the sort order at any time by clicking the sort icon within the block. Available options include Due: Today > Future, Due: Past > Future, Due: Today > Past, Status (Open-on Hold), Status (on Hold-Open), Priority (Low-Ready for Deploy), Priority (Ready for deploy-Low), Assignee Name (A to Z), and Assignee Name (Z to A).

Default Filters: Set the default filter applied when the block loads. Users can change the filter at any time by clicking the filter icon within the block. Available options include Open Search, Due Date, Statuses, Priority, Client, Source, Assignee. You can also pre-define a value within the selected filter category.

Task Behaviour: Enable the Hide/Remove Tasks from All Tasks Block when marked Complete option to automatically remove completed Tasks from the view. When this option is disabled, completed Tasks remain visible in the block and are displayed with a Completed status.

Data Options: Toggle the data fields you want displayed for each Task within the block. Available options include:

  • Show Project Name (if applicable) — Displays the Project Name above the Task Name when the Task is associated with a Project.
  • Show Project Phase (if applicable) — Displays the Phase below the Task Name when a Phase is assigned to the Task.
  • Show Task Status — Displays the Task Status below the Task Name.
  • Show Task Priority — Displays the Task Priority below the Task Name.
  • Show Task Type — Displays the Task Type below the Task Name.
  • Show Task Files (if applicable) — Enables the Task Files option, allowing the Target to view, download, and upload files directly from the block.
  • Show the Name of the Project's Primary Client (if applicable) — Displays the Primary Client's name above the Task Name when applicable.
  • Show the Name of the Assignee — Displays the name of the Task owner so you can see at a glance who is responsible for each Task.

TIP: Enable the Show the Name of the Assignee Data Option to make accountability clear at a glance. When managing a team across multiple Projects, being able to see who owns each Task directly in the block saves time and reduces the need to open individual Tasks to check assignments.


Best Practices

A well-configured All Tasks Block gives your management team a powerful real-time overview of work across the business without needing to dig through individual Projects.

  • Enable the Hide/Remove Tasks when marked Complete option to keep the block focused on outstanding work and prevent the list from becoming cluttered over time
  • Set the Default Sorting to Due Date Ascending so the most urgent Tasks always appear at the top of the list
  • Enable Show Task Priority and Show Task Status so managers can immediately understand the urgency and current state of each Task without opening it
  • Enable Show the Name of the Assignee so accountability is visible directly in the block for all team Tasks
  • Use the Default Filters to pre-filter by a specific Client or Status so the block loads with the most relevant view for the intended audience
  • Use the Access Options tab to restrict the block to the appropriate Staff roles only, ensuring it is not visible to Clients or Staff who do not require this level of visibility

TIP: The All Tasks Block works especially well on an internal Staff dashboard alongside the Projects Block, giving your management team a complete overview of all active Projects and their associated Tasks in one place. Pair it with the Reporting Block for a comprehensive operations dashboard.
