CRM: Follow-up Generators

What is an Follow-up Generator?

A Follow-up Generator is a pre-configured series (or sequence) of Follow-ups you can "pre-create" and then use in an Automation to instantly generate those Follow-ups on your Calendar, usually as a strategy to follow up with a potential Client during the sales cycle. This allows you to create multiple configurations and apply the correct Follow-up Generator to the appropriate scenario, depending on your needs.

EXAMPLE: When you make contact with new potential Clients you may want to set up your Calendar so that you are always reminded to email them after 4 days, call them after 10 days, and email them again after 15 days. In this case, you would create an Follow-up Generator that contains 3 Follow-ups

Using "Based on Generation Day" you create the first Follow-up  "Email check-in" and set the "schedule" to 4 days - which means that this Follow-up will be scheduled exactly 4 days after the Follow-up Generator is triggered.  Repeat this process for the remaining Follow-up's setting the required days.

Then, in Automations, you would set this Follow-up Generator to be triggered, thus instantly creating the 3 Follow-ups on your Calendar with the proper due date based on the associated "Scheduled Days".

How do I create an Follow-up Generator?

Navigate to CRM > Follow-up.

Click Follow-up Generators in the top navigation menu bar and click the +Add Follow-up Generator button.

Give your Follow-up Generator a Title, then choose the Based-On Date from the dropdown

Based on Generation Day: the Follow-ups are scheduled from the day the Follow-up Generator is applied to the target.

Based on value of Date Custom Field: Follow-ups can be scheduled From the Custom Field Date.

Based on a Specific Date: Choose a precise date as the date Follow-ups can be scheduled from.

Based on a Dynamic Date: Follow-ups are scheduled from a Dynamic Date i.e. the date an appointment is booked.

You will then be redirected to that Follow-up Generator's details page. This is where you can begin creating the Follow-ups that will be assigned when the Follow-up Generator is triggered.

Click the +Add Follow-up to Generator button. This button will be named with the title you named the Generator.

A modal will appear with fields to fill out.

These fields are very similar to creating a normal Follow-up, with a few differences.

Schedule Time: Choose a time of day and use the dropdown menu to select either the Contact's Time Zone or choose a static one from the list.

Assign Automations: Click the Configure Automations button to add Automations for when the Follow-up is marked as Complete. This is available for both Follow-ups and Follow-up Generators.
